2. Hardware Procurement & Purchasing
Whether you are purchasing a device for departmental use or personal use, please use the appropriate approved channels:
-
Departmental Purchases: All university-funded acquisitions must be routed through MarketPlace+ in compliance with the university's official computer procurement policy.
-
Personal Purchases: Students and faculty looking to buy personal hardware should use the Apple or Dell Education Stores via the ITS Personal Purchases portal to access educational discounts. A valid Brandeis email address is required.
3. Mandatory Device Setup
To ensure security and access to university resources, all users must complete the following configuration steps:
-
Standard Software Imaging: If your computer is university-funded, bring it to the Help Desk to receive the Brandeis Standard software image. Note: Personal computers cannot be imaged.
-
Network Connection: Connect to the eduroam wireless network by logging in with your full Brandeis email address and password.
-
Multi-Factor Authentication (MFA): Ensure you have the Duo Mobile App installed on a secondary device and have at least two devices registered for multi-factor authentication at duo.brandeis.edu.
-
Security & OS Updates: Run all pending operating system and software updates. If you are off-campus and using a Windows device, you must connect via the Global Protect VPN before running OS or Microsoft Office patches.
-
Cloud Storage Integration: Move all university-related work and data into Google Drive or Box. Avoid saving sensitive files locally on your computer.
-
Disk Encryption: For personal devices, manually enable disk encryption (BitLocker for Windows or FileVault for Mac). University-owned devices are encrypted centrally by ITS.
-
Inactivity Lock: Configure your device's security settings to automatically lock the physical hardware after 5 minutes of inactivity.
4. Hardware Repair and Maintenance
If your device requires physical service or troubleshooting, the ITS Hardware Repair Shop provides authorized repairs for university-owned machines as well as student-owned Dell and Apple computers:
-
Initiating a Repair: You must provide your device's Service Tag (for Dell) or Serial Number (for Apple) to open a repair ticket.
-
Warranty Scope: For repairs outside of the manufacturer's warranty, ITS covers the cost of labor. The individual user or their department is responsible for the cost of replacement parts.
-
Exclusions: ITS hardware support does not cover printers, smartphones, or personal peripheral accessories like keyboards and mice.
